I had an unfortunate incident a couple of weeks ago as i was packing my lorry ie Thursday afternoon as we had Solihull on Saturday and Midland County on Sunday I could not find my Midland Counties Nos so i rang the secretary after looking through the records they said they had never recieved my entries i was gutted i was told i should have rang them 10 days before the show if my nos had not arrived and not left it so late however even if i had done that the entries had closed early so that a catalogue could be printed so i still would not have been able to enter. I enter so many shows and entries are arriving back daily at this time of year they all get put in the entries drawer i thought i was very efficiant. My question is if you leave entries until a day or 2 before the closing dates you have no way of knowing if the show has recieved them recording your letter does not guarentee they have recieved it, and proof of postage is not enough for the big shows so what can we do ring the shows to see if they have got the entries i tried that last year when i faxed my enties to the RIHS and later found out the fax was faulty they olaughed at me the lady said it would take up to 2 weeks to process all the entries so once again i ask what can we do because of what happened at Midland Counties i missed a judge that loves 1 off my horses and the best chance we had of qualifying HOYS this year with that horse. I was also told i was not the only person this had happened too at this show.

No the cheque has not been cashed i do belive it has been lost in the post as can easily happen these days which is why i think all shows need to have entries on the day or use paypal then at least competitors have some proof they have entered their classes also postage seems to be an issue iwas told lots of entries at Midlands had been sent with the wrong postage and they were left at the sorting office i did use the correct postage but shows need to do more to help competitors.

enclose a self addressed postcard which says entries received for whatever show with the entries, if you dont get it back within a few days, ring the show secretary.

No way can big shows do entries on the day then you get irritating people that enter classes which they are not eligible for as we send off all entries to societies for checking ( good job this year we seem to have a bumper crop if ilegible entries !!!) also for certain societies you need to have a catalogue, which you cannot produce on the day !!!
Also would you be happy to pay for extra staff to process entries on the day ? Would you be happy to delay classes whilst waiting for paperwork to be finished, This is not acceptable at shows with many affiliated classes.
At my other shows i run for non affiliated classes and others we do do entries on the day, but then we cannot give you a set time for classes as we have no idea if we will have 2 or 22 in each class.
Hence we run a ring per section starting at a particular time and running through with 5 min calls per class in each ring.

Emma is it not possible for the big shows to use showpay or something that allows people to enter and pay online then we dont have all the problems with the post just look at the fiasco with the royal at the moment i am sorry but it is not good enough just to wash your hands and blame the competitors you have a duty to help the competitors as well.

In my shows case it isnt a problem and i allowed plenty of time, so i think show pay could complicate things in our case, im slightly shocked by whats happening at RASE i mean yes we prob dont have as many entries but there has to be some reson so many have been refused. I mean if i can manage upto 1200 entries and am alone whats happened ? something drastically wrong i mean its not just one or 2 entries have returned.
I returned none so far, i have had some have to withdraw that have entered wrong classes or not been appropriatly registered.
I wasnt blaming competitors for this instance but had they sent them a week sooner is the question you have to ask and would they have been returned then ?

Well yes sending your entry by recorded delvery does guarantee they have received it or not because someone has to sign for it then you can track your entry online and see if it was recieved by the closing date. The simple answer is don't leave it so close to the closing date. If you send a letter by recorded delivery a week before the closing date it will be guaranteed to arrive there by the date it is supposed to and if someone has signed for it, you have proof that they did recieve it. Show organisers aren't responsible for people leaving such a short time between posting entries and the closing date. It's for the competitors to be more organised.

i had my entries from the RWAS returned....i posted them on the 11th, but as I live in a rural community they didn't get to the sorting office until the 12th. not the 11th..so they sent them back saying that they could not accept them...
I wouldn't mind, but I was entering NON welsh ponies for the HOYS classes!
Nightmare...however it is my own fault should have sent them off earlier!

i sent my entries for NPS area 5 on time and posted it along with about three or four other entries....a week before the show i realised i had not written down what ponies i had entered so rang the sec to enquire ...they told they had not recieved an entry at all ....luckily the cheque had not been cashed and they very nicely let me enter late as i had the cheque stub to prove had sent it off ...god knows where i had sent it ...! Possibly to one of the other shows i had entered at the same time ! But sec was very helpful thank god ! I do try to send my entries early ..but is not too expensive for me as only have two ponies ...but can totally see why someone would wait till the last minute to send if they are unsure of what they are taking etc and have lots of ponies to enter as it can be soooo dear to enter everything just in case

Copy all entry forms and post via the proof of postage method. Simple, effective and it works.

postman doing what you say only proves the entry was posted that will not make any diffrence if the entry gets lost in the post once the closing date has closed and catalogues printed nothing on this earth will get your entry accepted. This is why we need alternatives to the post. We run our own business and there has been a record number of missing post this year in my area

I think it is a good idea to send a SAE or a postcard (as already said above) with your entries, that way you know they have been received.
As for sending them off at the last minute, its often unavoidable, when you have a homelife, a full time job, a yard full of ponies.......you get used to doing things at the last minute sometimes.
Also quite often there can be a show to go to on a saturday, sunday and a day mid week, and when you have say 2 ponies for the whole season, you dont want to drag them around to all 3, so you then have to decide which one to go to.....then you wait to see whoes judging where etc and then enter at the last possible minute!!!
